Terms of service
Services
WarrFix reviews denied, rejected, or debited OEM warranty claims and drafts a corrected package from documents the dealership provides. The WarrFix team approves a package before the dealership is told it is ready to resubmit. The dealership's own staff resubmits the claim in the OEM portal.
No OEM credentials
The dealership will not provide OEM portal usernames or passwords. WarrFix will not request, store, or use them.
Fees
The fee is the organization's contingency rate, 20% unless a written change says otherwise, applied to money the OEM actually pays. The first 5 recovered claims are free unless a written change says otherwise. There is no fee when nothing is recovered. A partial payment is billed only on the amount paid. Invoices are net 15. The dealership may flag a fee for review, as described below.
Reporting outcomes
After WarrFix delivers a rebuilt claim, the dealership reports what the OEM did in WarrFix. A claim is delivered when WarrFix marks it ready to resubmit. The outcome choices are paid, partially paid, denied again, still pending, or not resubmitted. The first report is due within 30 days of delivery. If the OEM has not decided yet, report "still pending." Each pending report gives 30 more days. Update the claim within 30 days after the OEM decides.
Proof of payment
For a paid or partially paid claim, the dealership enters the amount the OEM paid. It also uploads proof that shows the claim number and the amount paid. Proof can be a screenshot of the paid claim in the OEM portal or the matching line from the warranty credit statement. WarrFix reviews the proof before it invoices. WarrFix may ask for clearer proof. The fee is based on the amount shown in the proof.
Reminders and late reports
WarrFix sends reminders 14 days after delivery and on each due date. If a report is overdue, WarrFix sends a written notice by email. If no report arrives within 15 days after that notice, WarrFix may pause new uploads until all overdue outcomes are reported. It may also request the warranty credit statement for that period. Failing to report an outcome, or not reporting an OEM payment, is a breach of these terms. Any fee on a payment that was not reported is due when WarrFix learns of it, with late charges from the date it should have been reported.
Statements and audit
The dealership keeps its OEM warranty credit statements for claims WarrFix rebuilt for 24 months. When WarrFix asks, the dealership provides the monthly warranty credit statement, or the part of it that lists those claims, within 15 days. Other lines may be blacked out. WarrFix uses statements only to confirm outcomes and fees, and it keeps them confidential under these terms. WarrFix will not ask for this more than once a month, unless a fee is in question.
Fee flags
The dealership can flag any fee from the billing page. WarrFix reviews the flag and replies in writing. A corrected fee is credited or refunded as described above.
OEM chargebacks
If the OEM takes back all or part of a payment on a claim WarrFix rebuilt, the dealership reports it in WarrFix with proof within 12 months of the invoice. WarrFix credits the matching part of the fee on the next invoice. If no invoice follows within 60 days, WarrFix refunds it. A claim that used a free-claim slot gets no credit.
Use of rebuilt claims
The fee applies to any OEM payment on a claim that uses a package WarrFix rebuilt. This includes a claim first reported as not resubmitted, and a claim submitted after this agreement ends. The dealership reports those payments in the same way.
Payment
Invoices are due in 15 days. Late amounts carry a charge of 1.5% per month, or the highest rate the law allows if lower. The dealership pays reasonable costs of collecting past-due amounts. WarrFix may pause new uploads while an invoice is more than 30 days past due.
Term and ending
Either side can end this agreement with 30 days' written notice by email. Fees, reporting, chargeback credits, and records duties continue for every claim WarrFix delivered before the end date, for 12 months after it.
Dealership responsibilities
The dealership confirms that the repair orders and documents it uploads are true and complete. The dealership reviews every rebuilt package before it submits it, and it is responsible for what it submits to the OEM. The dealership will defend and cover WarrFix against claims that come from false or incomplete documents it provided.
No guarantee of OEM payment
The OEM decides every claim. An OEM denial, a partial payment, or a chargeback is not a breach by WarrFix.
Limit of liability
WarrFix's total liability under this agreement is limited to the fees the dealership paid in the 12 months before the claim. WarrFix is not liable for amounts the OEM does not pay, or for indirect or lost-profit damages.
Your data
The dealership owns the documents and data it uploads. WarrFix uses them only to provide the service, keeps them confidential, and keeps that duty for 2 years after this agreement ends.
Confidentiality and data
Claim files are stored in private storage. Customer data is not used to train AI models. The dealership may request deletion. An NDA is available on request. Vehicle-owner name, phone, and address should be omitted from uploads when the claim does not need them.
Acceptance
An organization owner accepts these terms inside the product. The acceptance record stores the user, the time, and the IP address. That click does not replace a review by the dealership's own counsel.
